Greenhouse Therapy Center Payment Policies Notice
We are committed to providing you with the highest quality mental health care and strive to ensure the smoothest possible experience. To help make sure everything is clear and to avoid any surprises regarding financial matters, please take a moment to review our payment policies below. By choosing to receive services with us, you are agreeing to these terms.
Credit Card on File Policy:
For our mutual convenience and to streamline our billing process, we require all clients to keep an active credit card on file.
Your credit card data is encrypted and stored by Vantage*, a PCI-compliant third-party processor integrated with TheraNest (our electronic health records system).
Credit card information is never stored within TheraNest, nor is it stored on any Greenhouse devices or servers. Furthermore, Greenhouse Therapy Center does not have access to your credit card details. Our admin and clinical teams will only ever see the last four digits of your card number and the expiration date.
You can securely enter your card details via your client portal, or your clinician can enter your information during your first session.
*We will shortly be transitioning to Stripe. Updated information will be available soon.
Automatic Credit Card Processing:
Payment for late cancellation or no-show fees.
Payment for your services as described in your Good Faith Estimate
Payment of co-pays, co-insurance, deductibles or out-of-pocket fees as determined by your insurance company (insurance clients)
Payment for services not covered by your insurance
Payment for outstanding balances after insurance processing
Whenever your card is charged for any reason other than your expected routine charges (such as routine co-pays, co-insurance, deductibles, or private pay fees as outlined in your Good Faith Estimate), you will be notified in advance via email unless you have opted out of email communications. If you choose not to receive email communications from us, your clinician will communicate your financial responsibility with you directly.
Session Attendance and Cancellation Policy:
We understand that occasionally you may need to cancel or reschedule your therapy appointments. We kindly ask that you provide as much notice as possible for any missed sessions.
Cancellation/Rescheduling Notice:
We request at least 48 hours' notice whenever possible for any appointment cancellation or rescheduling as a courtesy to your therapist and other clients.
A minimum of 24 hours' notice is required to avoid a late-cancellation fee.
For weekend or Monday appointments, notice must be provided by the preceding Friday at the same appointment time (e.g., a 2 PM Saturday, Sunday, or Monday appointment must be canceled by 2 PM on the prior Friday) to avoid a late-cancellation fee.
Why We Ask for Notice: This policy respects your therapist’s time and allows us to accommodate other clients or schedule alternative services in that time slot and/or office space.
Consistency is Key: Consistent attendance and active participation are crucial for your progress and to ensure you receive the best possible care. Missing a session can hinder your progress and create scheduling gaps for your clinician.
Please note that insurance companies do not cover fees for missed appointments, so you will be responsible for paying this fee in full.
No Credit Card on File?
If you prefer not to keep a credit card on file, in order to maximize the time spent in your session, you must pay for your session at the beginning of your session (via check, cash, Zelle to director@greenhousetherapycenter.com or by logging into your client portal to pay).
